How much does an exhibition stand cost in Spain? As a guide, a basic modular stand costs from €3,000–6,000, a mid-size custom stand €20,000–30,000, and premium stands for major international fairs can exceed €100,000. These figures cover the design, production and build-up of the stand itself. Floor space is paid separately to the show organiser, and its price varies from one fair to the next.
We are Factoría Creativa, an exhibition stand design and build company with our own 2,000 m² workshop in Barcelona, our own on-site crew and over 20 years of experience at shows such as Vitafoods Europe, MWC Barcelona, Alimentaria and Fruit Attraction. This guide, updated for the 2026 and 2027 trade fair seasons, explains what makes up the cost of a stand, what you pay the organiser and what you pay your stand builder, which costs foreign exhibitors tend to forget, and how to get quotes you can actually compare.
Typical exhibition stand cost in Spain (2026–2027)
Every stand is a different project, but these are the price bands we work with for most trade fairs in Spain and Europe:
| Stand type | Guide price | Best suited to |
|---|---|---|
| Basic modular stand | €3,000–6,000 | Small spaces, first-time exhibitors, tight budgets or stands that will be reused at several events. |
| Mid-size custom stand | €20,000–30,000 | Companies that exhibit regularly and want their own design, with a meeting area, storage room and a strong product display. |
| Premium stand for major international fairs | Over €100,000 | Large island stands, suspended structures, double-deck builds and advanced AV. |
These bands include design, production, build-up and dismantling. They do not include floor space or the services sold by the venue (power, cleaning, internet and so on). Between a basic modular stand and a mid-size custom stand there are in-between options, such as a modular system with bespoke graphics and furniture, or a small custom stand. Those are priced on the specific project, based on floor area, position and what you need inside.
Floor space vs stand: what the organiser charges and what your stand builder charges
Exhibiting at a trade fair involves two separate contracts. Mixing them up is the main reason budgets don’t add up.
- Floor space (paid to the organiser). The fair rents you an area in square metres. Rates vary widely: a stand at a small regional show costs nothing like space at MWC Barcelona. The price per square metre often depends on the hall and the stand position, and some organisers add a registration fee, mandatory insurance or a minimum services package. The exact figures are always in the exhibitor manual or sales pack for your show.
- The stand (paid to your stand builder). This is what we design, produce and build on that space: structure, walls, raised floor, counters, storage room, graphics, lighting and furniture. It is the part covered by the price bands above.
Some organisers offer a shell scheme (basic panels, fascia board and carpet), either included or as an add-on. It does the job, but it leaves little room for your brand. If you want your own design, book space only and commission the stand from a specialist stand builder.
What drives the cost of a custom exhibition stand
When we price a project, these are the variables that move the final figure the most.
Floor area
The first factor. A 9 m² stand and a 100 m² stand are different projects: more space means more structure, materials, graphics, build-up hours and technical requirements. Before asking for quotes, confirm the area you have booked, or at least the range you are discussing with the organiser.
Stand type and position
An inline stand (one open side) needs less perimeter design than a corner, peninsula or island stand, which is seen from three or four sides and needs finishes all round. Height matters too: suspended structures, rigging and double-deck stands require engineering, approvals and longer build-up.
Design and level of customisation
A bespoke design shapes the space around your brand, your products and what you want to happen on the stand: demos, meetings, tastings or lead capture. The more one-off pieces, special joinery and non-standard shapes, the higher the investment. See how a custom exhibition stand can multiply your impact.
Materials and finishes
Bespoke joinery, metal structures, raised floors, tension fabric, vinyl, acrylic or live planting all carry very different costs. Premium finishes signal brand value, but they are not needed on every surface. Choosing sustainable, reusable materials also affects the budget.
Lighting and AV
Screens, LED walls, digital totems, interactive content or augmented reality draw visitors in, but add equipment, programming and technician costs. Much of it can be hired rather than bought.
Graphics
Printed panels, backlit fabric graphics, vinyl and signage are priced by area and system. Interchangeable graphics let you reuse the structure at other shows and change only the message.
Transport, build-up and dismantling
This covers moving the stand from the workshop to the venue, the build-up days with the technical crew, dismantling after the show and removing materials. Distance, venue working hours and project complexity make this line vary a lot, especially for shows outside Spain.
Costs international exhibitors often forget
Beyond the stand and the floor space, several items tend to surface late. Check the exhibitor manual and keep part of the budget for:
- Electrical connection and power consumption.
- Internet, and water or compressed air if you need them.
- Rigging points for suspended structures.
- Daily stand cleaning and waste removal.
- Exhibitor badges and build-up passes.
- Material handling, forklifts and storage of empty packaging.
- Liability and contents insurance.
- Plan review fees or overtime during build-up, where the venue charges them.
- Shipping your products and samples. If they come from outside the EU, allow time and budget for customs clearance through a freight forwarder.
- Flights, hotels and meals for your stand staff. Hotel prices in Barcelona and Madrid rise sharply during the big shows, so book early.
All of these depend on the venue and the fair. If you prefer, we can order and manage venue services with the organiser for you, so you deal with one contact instead of several.
Venue regulations that affect the budget
Every exhibition centre has its own technical regulations. Venues such as Fira Barcelona and IFEMA MADRID set rules on plan approval, maximum heights, fire-retardant materials, electrical installations, safety, access and build-up and dismantling schedules.
These rules shape the design and therefore the cost: a height that requires signed engineering drawings, rigging that only the official supplier can install, or night-time build-up all add to the bill. Knowing the venue well avoids remaking parts or paying last-minute surcharges. We build regularly at Fira Barcelona Gran Via and Montjuïc and at IFEMA Madrid, and we know their exhibitor manuals.
VAT, quotes and invoicing for foreign companies
Our quotes and invoices are issued by a Spanish company, so Spanish VAT rules apply. How VAT is treated for stand services and for venue services depends on your company’s situation, so ask any stand builder to state VAT clearly on the quote and confirm the treatment with your tax adviser before you budget. We can run the whole project in English, with one project manager as your single point of contact from the first brief to dismantling.
Exhibiting outside Spain: what changes in the cost
For shows elsewhere in Europe, the stand price bands are the same, but logistics carry more weight: international transport, travel and accommodation for the build-up crew and longer build-up schedules. We produce in our Barcelona workshop and build with our own crew at fairs in Paris, Cologne, Düsseldorf, Frankfurt, Milan and Lisbon, which keeps quality and communication under one roof. More on our international stands.
Modular, custom or reusable: which gives the best value?
The answer depends on your goals, how many shows you do each year and the image you want to project.
- Modular stand: lower upfront cost, shorter lead times, simple build-up and easy reuse. The logical choice for small spaces and for companies that take the same stand to many shows.
- Custom stand: stronger visual impact, an exclusive design, a better visitor experience and more room for technology and meeting areas. The choice for the key shows in your sector, where you are measured against your competitors.
A third route is a custom stand designed for reuse: your own structure that adapts to different floor areas and is refreshed with new graphics. Spreading the investment over several fairs lowers the cost per event. See examples on our custom stands page.
How to keep your trade show booth budget under control
- Start ideally 3–4 months before the show. That gives time to compare options, produce without rush charges and submit plans on time. Our exhibition stand planning checklist walks you through it.
- Decide what has to happen on the stand. Meetings, demos, product display or lead capture: the design follows that use, so you don’t pay for space you won’t use.
- Spend where it shows. Invest in what visitors see from the aisle (height, branding, lighting) and keep back-of-house areas simple.
- Design for reuse. Structures and furniture that work at several shows, with interchangeable graphics.
- Hire rather than buy screens, furniture and equipment you only need for a few days.
- Work with one company that designs, produces and builds. Fewer intermediaries means fewer stacked margins and fewer surprises. Here is how to choose an exhibition stand builder in Spain.
How to get an accurate, comparable quote
To get a real quote rather than a generic figure, send every stand builder the same information:
- Show name, venue and dates.
- Booked floor area in m² and stand type (inline, corner, peninsula or island), with the floor plan if you have it.
- Your objectives: what you want to show and what needs to happen on the stand.
- Specific needs: storage room, meeting area, reception counter, screens, kitchen or pantry, number of staff.
- Whether the stand should be reusable at other shows.
- Your approximate budget, so the proposal makes the most of it.
Ask for the quote to be itemised (design, production, graphics, AV, transport, build-up and dismantling, organiser liaison) and to state clearly what is excluded, such as floor space, venue services and VAT. That way you can compare offers like for like.
Exhibition stand cost: frequently asked questions
How much does a small exhibition stand cost in Spain?
A basic modular stand, the usual choice for small spaces, typically costs from €3,000–6,000 for design, production and build-up. Floor space is paid separately to the organiser, and venue services such as electricity, cleaning and Wi-Fi are extra.
How much does a custom exhibition stand cost?
As a guide, a mid-size custom stand costs €20,000–30,000. Premium stands for major international fairs, with larger floor areas, double-deck or suspended structures and advanced AV, can exceed €100,000.
How much does floor space cost at a Spanish trade fair?
It depends on the show. Each organiser sets its own price per square metre, which can vary by hall and by stand position (inline, corner, peninsula or island), and some add registration fees or mandatory insurance. The exact rates are in the exhibitor manual or sales pack for your fair.
What is included in a turnkey stand price?
Usually design with 3D visuals, production in the workshop, graphics, stand lighting, transport, build-up, dismantling and coordination with the organiser. Floor space and venue services are contracted with the organiser, although we can order and manage them on your behalf.
How far in advance should I ask for a quote?
Ideally 3–4 months before the show. That leaves time to design, adjust the budget, submit plans to the venue and produce the stand without rush charges. Last-minute projects are possible, but options shrink and costs tend to rise.
Can I reuse my stand at other shows?
Yes. Modular stands and many custom stands are designed to be rebuilt with new graphics or a different layout. Spreading the investment over several fairs lowers the cost per event, and we can store the stand between shows.
Get a quote for your exhibition stand
The cost of an exhibition stand depends on the show, the floor area, the design and the services you need, but a well-planned stand turns that investment into meetings, leads and sales. Tell us about your show, dates and goals, and we will prepare a proposal with 3D visuals and an itemised quote.
