Our Vitafoods Europe stand tips come down to one idea: at a show full of ingredients and supplements, the stands that win translate an invisible product into something visitors can see, smell or understand in seconds. Vitafoods Europe is one of the world’s key events for nutraceuticals, dietary supplements and functional ingredients, and since 2025 it has been held at Fira Barcelona. That puts it on our doorstep: we have built stands there for brands such as Lubrizol and Hausmann. If you need the current dates and our service details, visit our Vitafoods Europe stand design page; this article focuses on the lessons behind the projects.
Factoría Creativa is a Barcelona company that designs, produces and builds exhibition stands, with over 20 years of experience, a 2,000 m² workshop and our own installation crew.
Vitafoods Europe in brief
Vitafoods Europe brings together the nutraceutical supply chain: ingredient manufacturers, contract manufacturers, finished-product brands, packaging and testing services, and buyers from all over the world. The show moved from Geneva to Barcelona in 2025. The 2026 edition took place at Fira Barcelona on 5–7 May 2026, and the 2027 edition is scheduled for 18–20 May 2027. Check the official Vitafoods Europe website and the organiser’s exhibitor manual for confirmed dates, deadlines and stand rules.
The audience is technical and international. Visitors include R&D, regulatory, purchasing and marketing teams, so your stand has to work for a scientist and a buyer at the same time.
Vitafoods Europe stand tips: four principles
A strong Vitafoods stand is coherent with the brand, makes the product tangible, sits where your audience walks and is staffed by people who can hold a technical conversation.
Brand coherence
The stand should express your company’s values clearly. Consistency between design, materials and message builds the authenticity and trust that ingredient buyers look for in a long-term supplier.
Make the product tangible
Most exhibitors sell powders, extracts or delivery technologies that look alike. Interactive and sensory elements, from visible ingredients and smell stations to screens explaining traceability or mode of action, give visitors a reason to stop and a hook to remember you by.
Strategic location
High-traffic areas increase visibility and cost more. The return on a good location comes from more conversations and contacts, so weigh it against the size of the stand: sometimes a slightly smaller stand in a better spot works harder.
A prepared team
Staff training is essential. The team should answer technical questions in detail, qualify leads and offer the personalised attention that a B2B ingredient buyer expects.
Case study 1: Lubrizol at Vitafoods Europe 2025
Sector: dietary supplements and functional foods · Stand size: 95 m²
For Vitafoods Europe 2025, Lubrizol again trusted Factoría Creativa to design, produce and build its stand. The full project is on our Lubrizol Vitafoods stand page.
The challenge. Lubrizol wanted to promote a supplement whose concentration of turmeric “makes women shine from within”. The stand had to turn that idea into architecture.
The solution. The centrepiece was a 4-metre-high light cannon on the central axis of the stand, flooding the space with light. It symbolised inner glow and put the product at the heart of the visit. Around it, the atmosphere was warm and welcoming, and the combination of dramatic lighting and lightweight temporary architecture made the stand stand out from neighbouring exhibitors from the first moment.
Case study 2: Hausmann Aromatic at Vitafoods Europe 2025
Sector: botanical ingredients and essential oils · Stand size: almost 200 m²
Hausmann Aromatic asked us for a stand that faithfully represented its values: natural origin, sensory quality and transparency. See the project on our Hausmann Vitafoods stand page.
The concept. The design was inspired by nature. A central structure resembling a tree symbolised the brand’s direct link with the plant world. We used sustainable materials such as FSC-certified wood and suspended greenery to create an organic, welcoming space, with curved furniture and soft lighting from translucent spheres.
The multisensory experience. Themed interactive zones let visitors explore Hausmann’s products through their senses: cylinders with visible ingredients, smell stations to experience the essential oils, and screens showing the traceability and benefits of each extract. A meeting area with round tables and an open information counter made it easy for distributors and potential customers to start a conversation.
For a closer look at both projects and the two other stands we built that year, read our Vitafoods 2025 stands recap. We have continued working at the show since: see the Lubrizol stand at Vitafoods 2026, the Hausmann Aromatic stand for 2026 and the Sirio stand at Vitafoods.
What the two projects have in common
- One big idea. A light cannon for an ingredient about inner glow; a tree for a botanical supplier. Each stand had one memorable element, not ten competing ones.
- Architecture that carries the message. The concept is built into the structure and lighting, not just printed on a wall.
- Room to talk. Both stands combined an open, inviting front with meeting areas for serious B2B discussions.
- Production quality. Both were produced in our own workshop and installed by our own crew, which is how we control finishes and timings at Fira Barcelona.
Common mistakes to avoid at Vitafoods Europe
- Underestimating lead times. Design and build-up deadlines are not flexible. Start early and plan every detail to avoid last-minute surprises.
- No communication plan. Being there is not enough. Plan social media, emails and meeting invitations before the show, and follow up on every contact afterwards.
- An unprepared team. If staff cannot answer technical questions or qualify leads, the stand loses much of its impact.
- Forgetting the venue rules. Fira Barcelona and the organiser set rules on heights, rigging and materials. Hanging elements such as Lubrizol’s light cannon or Hausmann’s greenery need to be planned with the technical regulations in mind.
Exhibiting at Vitafoods Europe from abroad
Most Vitafoods exhibitors are international, so our process is designed for clients who are not in Barcelona: one English-speaking project manager, 3D designs and approvals online, production in our Barcelona workshop a short drive from Fira Gran Via, and our own crew on site for build-up and dismantling. Ideally, brief us 3–4 months before the show. After the event, we can store reusable elements for your next fair, in Spain or elsewhere in Europe. For more on our work for supplement, food and ingredient brands, see our food exhibition stands page and our article on the impact of a custom stand.
A planning timeline for your Vitafoods Europe stand
Vitafoods Europe is held in May, so most of the work happens in the first quarter of the year. This is the timeline we recommend to clients, counting back from the opening day:
| When | What to do |
|---|---|
| As early as possible | Book floor space with the organiser; the best positions go first. Decide stand type (space-only or shell scheme) and size. |
| 4–5 months before | Set objectives and budget, shortlist stand builders and send a brief: products to show, number of meetings per day, storage, sampling, AV. |
| 3–4 months before | Ideal moment to commission the design. Review 3D renders, agree materials and sign off the concept. |
| 2–3 months before | Technical drawings submitted to the organiser for approval; order venue services (electricity, water, internet, rigging points). |
| 4–8 weeks before | Production in the workshop, graphics printing, AV and furniture. Prepare literature and invite customers to book meetings. |
| Build-up days | Installation by the stand builder’s crew, followed by cleaning, product dressing and staff briefing on the stand. |
| After the show | Dismantling, storage of reusable elements and lead follow-up within the first week. |

Space-only or shell scheme at Vitafoods Europe?
The organiser offers two basic options. A shell scheme is a ready-made stand with walls, fascia, carpet and basic lighting: quick and predictable, but it looks like the neighbours. A space-only stand is bare floor on which your stand builder constructs a custom design, which is what Lubrizol and Hausmann chose.
As a rule of thumb, shell scheme suits first-time exhibitors testing the show with a small space. Once you have a clear objective, a larger stand or an ambitious meeting programme, space-only gives you control over height, layout, lighting, storage and brand impact. There is also a middle route: a modular or hybrid stand with a reusable structure and custom features, which keeps costs down if you exhibit at several fairs a year. As a guide, a basic modular stand starts at €3,000–6,000 and a mid-size custom stand is typically €20,000–30,000, with floor space paid separately to the organiser. Our guide to exhibition stand costs in Spain breaks this down further.
Sampling, claims and graphics on a supplement stand
Nutraceutical stands have a few specific points that generic trade show booth advice tends to miss:
- Sampling needs space and services. If you plan to offer drinks, gummies or tasting formats, design a dedicated counter with storage, a sink or water supply if needed, and waste bins. Check the organiser’s rules on food sampling before you finalise the layout.
- Claims on the walls are claims in public. Health and nutrition claims printed on stand graphics should go through the same regulatory review as your packaging and brochures. Ask your regulatory team to sign off the artwork before it goes to print.
- Two audiences, two levels of message. A large headline and a strong visual for people walking past; technical sheets, QR codes or a tablet for the R&D or purchasing manager who stops.
- Meetings are the real output. Ingredient deals are rarely closed on the spot. Plan enough tables or a closed meeting room for scheduled appointments, and a storage room for samples and coats.
- Lighting for the product. Powders, capsules and liquids look flat under general hall lighting. Display niches with integrated LED lighting make them look precise and premium, as on the Lubrizol stand.
Why exhibit at Vitafoods Europe
- Global visibility in front of nutraceutical professionals from around the world.
- Partnerships with distributors, manufacturers and brand owners that can support international growth.
- Launches and feedback: an ideal stage to present new ingredients and measure the reaction of buyers.
